Finance Administrator
Dream Center Academy is an educational nonprofit that provides out-of-school time programming to an underserved population of students- our teens. Our mission is to empower our students to take ownership of their education by developing the academic and social skills necessary to succeed in school and beyond. Our vision is to build generations of students who become college- and career-ready graduates and productive citizens of our community. Dream Center Academy is currently seeking to hire a Finance Administrator to manage and oversee our organization's financial operations, including budgeting, financial reporting, payroll, and compliance with financial regulations. The Financial Administrator is responsible for maintaining accurate financial records, processing transactions, and supporting the company's overall financial health. Key duties include developing and managing budgets, processing payroll, overseeing expenditures, and ensuring adherence to financial policies. Essential skills for this role are strong analytical abilities, attention to detail, excellent organizational skills, and proficiency in financial software. Specific Responsibilities:
Finance Management: ● Manage and coordinate the day-to-day financial operations of the organization. Find ways to improve financial processes. ● Assist in the development and monitoring of budgets and financial forecasts, providing insights into financial performance and potential risks. ● Oversee and manage budget revenues and expenditures. ● Oversee and manage compliance with all grant funds. ● Analyze financial data to identify trends, variances, and areas for improvement. ● Contribute to the development and implementation of financial policies and procedures. ● Supervise bank account transactions and perform monthly account reconciliations. ● Monitor cash flow to identify potential issues and implement strategies that ensure sufficient liquidity. ● Maintain official records and documents, and ensure compliance with federal, state, and local regulations. ● Maintain a record of income and expenditures. ● Maintain client and donor contact lists. ● Maintain an annual calendar.
Working with our Accountant: ● Prepare and analyze financial statements, including income statements, balance sheets, and cash flow statements, for management review and informed decision-making. ● Identify and assess financial risks, and implement controls to mitigate those risks. ● Provide the accountant with budget updates and tax documents as needed. ● Assist with audit reports by preparing requested documentation and providing explanations of the organization’s financial procedures. ● Ensure compliance with relevant financial regulations, accounting standards, and internal policies and procedures.
Office Management: ● Order, stock, and organize office and program supplies. ● Process and maintain purchase orders. ● Process and direct mail, as well as manage incoming packages and deliveries. ● Maintain organization asset inventory.
Payroll and Record Management: ● Onboard new staff to the organization’s method for completing employee paperwork, understanding policies and procedures, and reporting time. Provide an Employee Handbook. ● Process payroll, ensuring accurate and timely payment of employee wages and salaries. ● Maintain all employee records (sick, personal, and vacation time off). ● Maintain employee paperwork, handbooks, and guidelines.
Board Meeting Management: ● Assist in the preparation and scheduling of Board Meetings. ● Serve as the recording secretary, taking minutes of the meeting that accurately reflect any actions the Board takes. ● Assist in filing Board resolutions, meeting minutes, and presentations. Other duties as required.
Qualifications ●Bachelor’s or Associate’s degree in finance, accounting, economics, or business administration, preferred; or High School Diploma and job-relevant skills developed through successful experience, strongly considered. ●Experience in financial roles, along with strong analytical, communication, and organizational skills, is desired. ●Excellent organizational, communication, and interpersonal skills. ●Proficient in computer skills. Familiarity with accounting software and other relevant financial systems. ● Ability to work well with others. ● Ability to work independently and meet deadlines. ● Ability to communicate accurately and clearly, both orally and in writing. ● Ability to handle confidential information. ●Strong understanding of accounting principles, financial reporting, and budgeting processes. ● Ability to analyze financial data, identify trends, and draw meaningful conclusions. ● Ability to manage multiple tasks, prioritize effectively, and maintain accurate records. ● Ability to communicate financial information clearly and concisely to various stakeholders. ● Attention to detail is crucial for ensuring accuracy in financial transactions and reporting. ●Inspired by the Dream Center Academy’s mission and philosophy. ●Commitment to excellence
